TERMS AND CONDITIONS FOR CLEARSPACE RETREATS
A deposit of 30% of the retreat price must be paid at the time of booking. No contract with us will exist until we have received this amount and the booking form duly signed, and have subsequently confirmed your booking. Should you later cancel, cancellation charges will become payable in accordance with paragraph 3.
2. PAYMENT OF THE BALANCE
The balance of the payment must be paid at least ten weeks before the commencement of the retreat. If we do not receive the balance by the due date, we shall be entitled to cancel the booking without prejudice to our claim for cancellation charges, and to retain the deposit. For bookings made within eight weeks of commencement date, you will be required to pay the full cost of your retreat at the time of booking.
Deposits will be refunded if the retreat is cancelled through insufficient interest.
3. CANCELLATION BY YOU
It is agreed between us that should you wish to cancel your booking, or that the booking is cancelled by us due to non-payment then we shall be entitled to the following percentage of the total holiday cost.
9 weeks or more before commencement date deposit (30%)
8-6 weeks before commencement date (50%)
6 weeks or less before commencement date 100%
We must receive cancellations in writing.
We will publish on the website as soon as we receive bookings and deposits for the minimum number of places needed for the retreat to run. It is recommended that flights be bought AFTER this announcement is made.
5. NUMBER OF PERSONS/REPLACEMENTS
Only the person stipulated on the booking form may use the retreat premises, facilities and estate. The number of people must not exceed the number of sleeping places indicated in the literature. Should the host find more persons than those stated, it is totally up to his/her discretion to ask the clients to vacate the house without any refund. No camping is permitted on the property grounds.
It is a condition of booking that you are covered by comprehensive travel insurance (and any additional health insurance needed for yoga and fitness) including coverage against trip cancellation and flights bought. The appropriate coverage should be purchased at the time of the booking. Please contact your travel agent, travel consultant or insurance broker about this. Your signature on the booking form confirms that you are covered by such insurance. Use of the house is at the clients’ own risk, and the owners do not assume responsibilities for personal injuries sustained.
7. ARRIVAL AND DEPARTURE TIMES
If you are flying to the retreat we strongly advise clients to book flights to Pisa (Easy jet fly from Bristol) we will arrange transfers in a shared vehicle for guests arriving on or before the suggested flights Guests arriving on later flights can have transfers arranged but may have to pay a supplement. Clients making their own way to the retreat should aim to arrive at A Chele on the day of the retreat after midday, and leave before 10 a.m. on the day of departure. If the client is going to be late, please advise at the first opportunity and every effort will be made to accommodate their arrival without jeopardising the rest of the group.
A Cash Deposit of 50 euros or £40 against damage or breakages will be collected from each client on arrival, and returned on departure if not required. Any damage to the property, marble, wood or other fabric of the building must be reported immediately must be paid for by the person or persons responsible.
Complaints lodged only at the end of the holiday period will not be taken into consideration. Clients, who leave the retreat for any reason do so at their own risk and we will not accept any claim for refund in such circumstances.
The property will be clean at the beginning of the rental period and we expect the guests to respect the house and maintain this throughout the retreat. The rooms must be left in a clean state by the client at the end of the retreat. If the property is not left in an acceptable condition the sum of 30 Euros per person may be charged
The client is expected to respect others in the group and display correct and decent behaviour. Should the client behave in a manner that is not acceptable by civilised standards, the retreat host may ask the client to leave the house estate and retreat.
Pets are generally not accepted. If you want to bring one with you, please check in advance if this is possible. If accepted, you will be requested for an additional security deposit and/or adequate insurance.
13. READINESS FOR PHYSICAL EXERCISE ( for yoga, pilates, cycling and fitness retreats only )
Clients are asked to honestly answer the following health related questions. It is the client’s responsibility to have discusses any aspect of their health resulting in a YES with their doctor to confirm they may engage in the physical side of this retreat.
Health Related Questions:
1. Has your doctor ever said that you have a heart condition and that you should only do physical activity recommended by a doctor?
2. Do you feel pain in your chest when you do physical activity?
3. In the past month, have you had chest pain when you were not doing physical activity?
4. Do you lose your balance because of dizziness or do you ever lose consciousness?
5.Do you have a bone or joint problem (e.g. back, knee or hip) that could be made worse by a change in your physical activity
6. Are you currently taking prescribed drugs from your doctor. (e.g. for blood pressure or water retention, heart condition or indeed any other medical condition
7. Do you know of any other reason why you cannot or should not participate in physical activity.
14. SWIMMING POOL
The swimming pool is not open all year. If your rental period is outside the period May 27 to September 30, it is likely that the pool will be closed- please check with us in advance. The swimming pool is not enclosed by fences and there are no lifeguards. Clients' use of the swimming pool is at their own risk. The villa owners do not assume responsibilities for use of the swimming pool. Guests are reminded not to take glass bottles and drinking glasses to the pool area. Pool towels are provided, guests are asked not to take their bathroom towels to the pool area.
15. MAID SERVICE AND COTS
It is usually possible to arrange extra maid service but this cannot be guaranteed. The cost is 18 euros per hour - and is paid locally. If a maid is booked in advance her services cannot be cancelled locally without payment. Extra beds or cots are available if required. These must be booked in advance, extra bed 90 euros, cot 60 euros
Heating costs are included in the price of retreats. Please note that heating in Italy, when not subject to restrictions by the local Government, is more expensive than in other countries. Please respect host guidance on measures required to conserve the heating in cooler periods.
17. WATER AND ELECTRICITY
Water shortages do occur; please use water sparingly during the summer months. As many rural houses working off the mains in a mountainous area, we sometimes experience a sudden loss of pressure especially at night. This is usually restored within a few hours.
Italy has introduced a system of electricity limitators to contain the national consumption. This means you must be careful when using more than one appliance at once because the limitator will shut the electricity off.
Valuables left at the property are at the clients’ risk. The owners (or their staff) are not responsible for their loss.
19. LAW JURISDICTION
In the event of any dispute concerning the terms and conditions of this contract English law will be applied
